Employment contracts: are yours still up to date?

We regularly notice that employers are still using outdated employment contracts. Contracts that were drawn up years ago and have barely been reviewed since, even though employment laws and regulations have changed in several areas.

For example, the Dutch Transparent and Predictable Working Conditions Act (“Wet transparante en voorspelbare arbeidsvoorwaarden”), which came into effect on 1 August 2022, introduced additional requirements regarding the information employers must provide to their employees. We also still come across employment contracts containing unnecessary personal information, such as citizen service numbers (BSN) or bank account details (IBAN), which are better recorded separately.

Outdated contracts can have unpleasant consequences. Certain clauses may no longer be legally valid, mandatory information may be missing, and unclear agreements can lead to disputes with employees. As an employer, you also risk failing to meet your legal obligations.

When was the last time you had your employment contracts reviewed? Our HR consultants can review your existing contracts and, where necessary, draw up new ones that comply with current legislation. This way, you can be confident that your agreements are properly documented and avoid unnecessary risks.

Exact and Nmbrs: payroll journal entry export

Many of our clients use an automated connection between Nmbrs and their accounting software, such as Exact Online. This allows payroll journal entries to be automatically exported to their financial administration after each payroll run.

In practice, we sometimes find that this connection has been interrupted without anyone noticing. This can happen, for example, when switching to your own Exact license or when the existing connection needs to be reauthorized.

The result? Payroll processing continues as usual, but your personnel costs are no longer automatically recorded in your accounts. This means your financial records may be incomplete, leaving you without an up-to-date picture of your personnel costs and financial performance.

Have you recently switched to a different Exact license, or are you unsure whether the connection is still working? Check whether your latest payroll journal entries have been processed correctly. If the connection has been lost, we can help you restore it, ensuring your payroll and accounting systems are properly connected again.

Nmbrs reintroduced as Nmbrs Payroll

As of September 2026, Nmbrs, Yuki, WeFact and Visionplanner have been brought together under one brand name: Nmbrs. As a result, the familiar payroll software is now called Nmbrs Payroll. Its appearance has also changed, featuring a new white and purple colour scheme, an updated layout, and a revised menu structure.

For you as a client, nothing else changes. If you have any questions about the updated interface or locating specific functionalities, please feel free to contact us. We will be happy to assist you.

Discover what else you can automate with Nmbrs

Did you know that Nmbrs can automate much more than just the connection with your accounting software? Integrations are also available for HR systems, occupational health services, time tracking, and workforce planning tools.

By connecting your systems, you can avoid repeatedly entering the same information manually. This not only saves time but also reduces the risk of errors and helps keep information consistent across different systems.

Curious about the possibilities? The Nmbrs Payroll Integration Store provides an overview of available integrations with other software packages and tools. Are you using several systems and wondering whether you could automate more of your processes? We would be happy to explore the possibilities with you.

Staff party or dinner? Keep the Work-related costs scheme in mind

Fall break is over, and Christmas parties are already being planned for December. A staff party, get-together, or group dinner is, of course, a lot of fun. From a tax perspective, however, the location where you organize it makes quite a difference.

Different rules under the Work-related Costs Scheme (“WKR”) apply to facilities provided at the workplace and those provided outside the workplace. For example, the tax treatment of a staff party held at the workplace can be very different from a party organized at an external venue.

The same distinction applies to food and drinks. Coffee, tea and snacks provided at the workplace, for example, may remain outside the discretionary scope, while different rules apply to meals. If you take your employees out for dinner or organize a staff party at an external venue, the costs will generally be charged to the discretionary scope.

And the discretionary scope is not unlimited. In 2026, it amounts to 2% of the first €400,000 of the total taxable wage sum and 1.18% of the excess. If you exceed the available discretionary scope, you as the employer will be liable for an 80% final levy on the excess.

Are you planning a staff party, dinner, drinks or another activity in the coming months? Keep the WKR in mind and, if in doubt, discuss it with us beforehand.

Would you like to know exactly how the discretionary scope works, which costs do and do not fall within it, and what the main pitfalls are? Read our detailed article on the Work-related Costs Scheme.
